Support Suite Not Available This Weekend As We Convert to the New Support Suite

Provider will be unable to submit tickets this weekend under the "old" Support Suite as we are converting to the new Support Suite.

We will be emailing each practice their login and password for access to the new Support Suite.  Because of the number of clients we have, it will take all weekend to notify all clients.

IF YOUR OFFICE NEEDS TO SUBMIT A TICKET AND YOU HAVE NOT RECEIVED EMAIL NOTIFICATION OF THE THE NEW SUPPORT SUITE LOGIN INFORMATION, SEND AN EMAIL AND I WILL TRY TO EXPEDITE YOUR NOTIFICATION.

Date Format on Online Forms

The date issue has been fixed with the online forms with the exception of the following:

  • When entering a date, do NOT use dashes in the date.
  • Make sure you use slashes as part of the date.
  • EXAMPLE:  DO enter in the format like 05/03/2016 or 5/3/16.
  • Do NOT enter in the format like 05-03-16 or 5-3-16.

And remember to use the latest version of your browser...and to try Firefox if you are having a problem.  You can also try rebooting your computer if you have a problem with your form submission.

Make Sure Your Online Forms Are Actually Being Submitted

Some offices are still having problems submitting forms through the new online system.  Fortunately most users are not having any difficulty submitting forms (with the exception of the issue with the date of service field per the previous memo).

Here are some important things to keep in mind:

CONFIRMATION PAGE

  • After submitting a form, if you are successful you will come to a confirmation page.
  • To see what the confirmation page looks like after a successful submission, see the image at the bottom of this notice.
  • If you do NOT get to this confirmation page, then you know your submission was NOT successful.
  • You will see the View and Print PDF Form. 
    • FOR PROVIDERS WHO ARE NOT ENROLLED FOR THE LOGIN VIEW AND SEARCH FEATURES, IT IS STRONGLY RECOMMENDED THAT YOU VIEW AND PRINT THE PDF FORMS AS VERIFICATION OF SUBMISSION.
    • FOR PROVIDERS WHO ARE ENROLLED FOR THE LOGIN VIEW AND SEARCH FEATURES, IT IS NOT NECESSARY TO VIEW AND PRINT THE PDF FORM AFTER SUBMISSION AS YOU WILL BE ABLE TO VIEW YOUR SUBMITTED FORMS VIA THE ONLINE FORMS MENU (Search Patient Forms and Search Billing Logs)

WHAT IF YOU HAVE PROBLEMS SUBMITTING THE FORMS?

  • The online forms work with the current versions of Internet Explorer, Google Chrome and Firefox.
  • If you are having an issue with submission of forms, you may be using an older version of a browser (such as Internet Explorer 8 or 9) OR you may have an older Operating System (such as Windows 7 or Windows XP).
  • So if you are having problems submitting forms, you should first update your browser to the latest version.  If you continue to have problems, we recommend Firefox.
  • Also if you are using an older Operating System such as Windows 7 or Windows XP, we STRONGLY recommend that you upgrade your Operating System to Windows 10.
  • If you are trying to submit on an iPad, update to the latest version of iOS.  In addition, you can download and use the Firefox for iPad App.  Both Safari and the Firefox for Ipad App work without a problem on an iPad with the latest iOS installed.
  • IF YOU CONTINUE TO HAVE PROBLEMS, LET ME KNOW.  I CAN CONNECT TO YOUR COMPUTER TO SEE IF I CAN DIAGNOSE THE PROBLEM.

UPDATE: Problem with Date of Service Field for Online Billing Form

Regarding the below error with the date of service, this is what we have found.

If you enter the date of service as 05/02/2016, you receive this error (the developer is working on a fix for this).

BUT if you enter the date of service as 5/2/16 and tab, then the date will properly be formatted as 05/02/2016 and go through.

SO UNTIL THE DEVELOPER FIXES, MAKE SURE YOU ENTER THE DATE OF SERVICE AS THE EXAMPLE GIVEN:  5/2/16 and tab.  Do not enter 05/02/2016.


We have been notified that there is a problem with the Date of Service field for the Online Billing Form.  If you list today's date of service (05/02/2016) as the date, you receive a pop-up notification that Future Dates Are Not Allowed.  We are aware of the issue and have notified the developer.  As soon as this has been fixed, we will let you know.

For the Online Patient Forms, when entering a Date (such as Date of Birth or Date of Onset of Condition) ensure you enter a 4-digit year.  If you enter a 2 digit year (such as 16) and tab, it will place 20 at the front (so 16 becomes 2016).  If a person was born, for example, in 1974, you must enter the year as 1974, not as 74.

Finally, all other issues regarding the online forms have been fixed.  If you continue to experience problems with your browser with submissions, you are probably not on the latest version of your browser (such as Internet Explorer 11 or Google Chrome 50.0.2661.94 or Firefox 46.  Upgrade your browser to the latest version of your browser and then if you continue to experience problems let me know.

UPDATE: Problems Submitting New Forms with Some Browsers

Per our developer, the problem with form submissions for users using Internet Explorer has been RESOLVED.  If you switched to another browser because of problems using IE, you should be able to go back to submitting your forms via Internet Explorer.

  • If you do use Internet Explorer and you do experience a problem still with submitting forms, please email us your IE Version 10 and your Operating System information.
  • We also have learned that if a user begins submitting billing via the online billing log and keeps the page open for too long without submitting, you will receive an error when you try to submit (you will be brought to a log in page).  To avoid this error, simply ensure you enter all patients on the form at one time and do not sporadically enter billing on the form throughout the day.

 

We are aware that some users have experienced problems submitting our new online forms.

This problem apparently only is happening for users who are NOT logging in to the new system.  Users who are logging in apparently are not having any issues at all.

In addition, most users who do not log in are able to submit without a problem so the problem is only for some with particular browsers or operating systems.

We have made our developer aware of the problem and he is investigating.

In the meantime, if your office attempts to submit an online form, you complete the ReCaptcha phrase, you click submit, and you get a system error or you are sent to a blank log in page, do the following:

  • Email us immediately with your operating system info (Windows 7, Windows 8, Windows 10, etc) and browser and version.
  • To find your version of your browser, you can follow the following instructions:
    • Internet Explorer:  You can click the Gear icon in the upper right and then click About Internet Explorer OR if you have the Menu bar at the top, go to Help, then About Internet Explorer
    • Google Chrome:  In the upper right you will see a menu icon with 3 horizontal lines.  Click that, then click About Google Chrome.
    • Firefox:  Click Help, then About Firefox.

NOTE:  Most problems with the forms are for users of Google Chrome or Internet Explorer; only one user has experienced problems with Forefox, but most have not.  So if you are having problems with the forms with Chrome or IE, switch to Firefox.
